Job Summary: The Administrative Assistant II provides
administrative support for the operations of unit. Performs
moderately complex and well documented administrative tasks. Acts
as office liaison/receptionist. Receives and routes phone calls,
emails, and/or guests. Maintains files and enters data. Drafts and
sends communications on supervisor/departmental staff behalf.
Reconciles P-Card/Concur for other staff/faculty against
departmental budget. Performs some simple budget monitoring/entry.
Operates standard office equipment such as personal computers,
copiers, fax machines, etc.
Additional Department Summary: Provides primary support to the
Associate Dean of Students and reporting
departments/areas/initiatives including but not limited to Student
Care & Well-Being, Student Life Complaints, SGA Elections, and UA
Religious Life under limited supervision. Directs the day-to-day
operations of the Associate Dean of Students functional unit.
Assists with case management. Administers the unit's budget
procedures. Manages the front office area for the Dean of Students
suite. Oversees some aspects of the program. Acts as the main
liaison to other offices within the University as well as external
contacts. Maintains budget records. Supervises other support staff
and-or students. Arranges meetings-itineraries-agendas. Types a
variety of material. Compiles data and prepares reports. Purchases
office and program supplies and materials. Completes required
training and promoting a safe, hospitable, and respectful
workplace. Has personal accountability for financial reporting and
responsibility for establishing, enforcing, and following internal
processes and controls as outlined in UA policies and procedures.
Provides a critical role in UA meeting the demands and requirements
of an increasingly highly regulated environment. Provides
significant responsibilities that relieve professional staff so
that they may focus on critical issues and develop a safe and
productive educational experience.
Required Minimum Qualifications: High school diploma or GED and two
(2) years of administrative experience; OR associate's degree or
higher.
Skills and Knowledge: Must be able to maintain confidentiality.
Skill in using Microsoft Office products such as Word, Excel, and
Outlook. Attention to detail. Comfort taking direction from
multiple individuals and working on multiple projects
simultaneously. Strong organizational skills. Excellent verbal and
written communication skills. High degree of professionalism.
Ability to work well with others in a shared office environment.
Demonstrated commitment to expanding multicultural knowledge,
awareness, and skills as evidenced through demonstrating
self-awareness; understanding and valuing others; demonstrating
knowledge of social inequalities; interacting effectively with
people from a variety of backgrounds and experiences.
Preferred Qualifications: Experience using Maxient conduct
management software program.
