Job Description:
Serves as the first point of contact for internal and external
customers and colleagues, including all employee levels and
applicants. Consistently provides exceptional customer services
with regard to providing timely, accurate information and problem
resolution. Provides sound interpretation and application of Human
Resources (HR) policies and maintains basic working knowledge of
all supported areas of HR. Assists with administration and/or
implementation of HR policies and processes as appropriate and
supports functions for Centers of Excellence. Functions as the
front-line customer-service representative for HR. Receives and
resolves customer inquiries from various channels, including via
phone, email, intranet and walk-ins. Understands and demonstrates
the standards for providing exceptional customer service. Applies
skills in active listening, courteous interactions, time
management, problem solving, follow up, conflict management, and
recovery strategies. Exercises critical thinking skills in
supporting employee requests and inquiries through the use of
multiple HR information systems such as intranet, MediTech, API,
Optimaxx, etc. Researches and resolves issues as appropriate.
Accurately assesses customer needs and determines whether the
inquiry needs to be escalated for resolution. Maintains data
integrity through accurate and thorough tracking of contacts and
resolutions. Learns and utilizes available technology and software.
Tracks data as appropriate. Maintains HR Information System records
through routine update processes. Remains open to process
improvement ideas and looks continuously for ways to improve
processes to more effectively meet customer needs. Provide
recommendations on opportunities for improvement. Supports HR
operations and HR Centers of Excellence as a team liaison. Provides
sound interpretation and application of HR policies and procedures
in daily work activities. Maintains a working knowledge of policy
and procedure updates. Meets or exceeds established standards for
productivity and accuracy. Maintains confidentiality and accuracy
with regard to employee records and issues. Continually develops
knowledge of broader HR areas and DCH Health System. DCH Standards:
Maintains performance, patient and employee satisfaction and
financial standards as outlined in the performance evaluation.
Performs compliance requirements as outlined in the Employee
Handbook Must adhere to the DCH Behavioral Standards including
creating positive relationships with patients/families, coworkers,
colleagues and with self. Requires use of electronic mail, time and
attendance software, learning management software and intranet.
Must adhere to all DCH Health System policies and procedures. All
other duties as assigned. High school diploma or equivalent
required. Three years in customer service or call center required.
Prior HR experience preferred. Must possess excellent customer
service and written and verbal communication skills. Must have
exceptional critical thinking skills and the ability to explain
technology use to others. Must demonstrate respect for diversity
and be able to maintain confidentiality when responding to
inquiries. Must work well in a team environment and have a working
knowledge of Microsoft Office and the Internet. Experience with an
HR information system preferred, but not required. Must be able to
read, write legibly, speak, and comprehend English. WORKING
CONDITIONS WORK CONTEXT Requires frequent face-to-face and
telephone contact with others at all organizational levels,
internal and external applicants and other customers. Work is fast
paced and unpredictable in a customer service environment. Deals
with external customers and may require occasionally dealing with
conflict and/or an angry person. Requires constant use of email.
Works as part of a team. Requires individual outcomes as well as
team-based outcomes. Work is primarily performed in a clean, indoor
and temperature-controlled environment with no unusual physical
effort. May require performing tasks in moderately close proximity
to others. Cognitive abilities required include deductive
reasoning, information ordering, oral comprehension, oral
expression, problem sensitivity, written comprehension, and written
expression. This position will involve analyzing data and
information, having the ability to work independently or in a team
environment, preparing written letters and memos, critical thinking
and using good judgment in decision making. PHYSICAL FACTORS
Primarily sedentary work. Exerting up to 10 pounds of force
occasionally and/or negligible amount of force frequently or
constantly to lift, carry, push, pull or otherwise move objects.
Involves sitting the majority of the time. Walking and standing are
required occasionally throughout the work day. Manual and finger
dexterity required. May require the ability to stoop, kneel and/or
crouch on occasion. Physical presence onsite is essential. Local
and/or long-distance travel may be required. Hearing and vision
must be normal or corrected to within normal range. Able to perform
