Funding options administered by the FAO include need-based, non-need-based, grant, scholarship, loan, work study, federal, state, institutional, and outside monies. ln addition, the primary purposes of the FAO are: To develop policy and implement procedures that work with regulatory compliance for the $200,000,000 in financial aid assistance administered yearly by the University. To assist in realizing the mission and ideals of the University. To offer effective and timely communication of financial aid eligibility criteria and receipt guidelines to the entire University community. To work to provide a quality environment and enriching experience to all members of the University community. To work collaboratively with other university offices to achieve success of the university. To develop goals in recruitment, retention, and graduation rates with respect to our policies and procedures. Position Summary The Associate Director of Financial Aid for Operations is responsible for the day-to-day operations of the Financial Aid module in Banner and other required technical applications. This position also includes general statistical reporting functions, liaison with Information Technology Services, supervision of five senior staff members, loan processing, student financial aid grant management, federal Verification and Professional Judgment, management and reconciliation of funds administered by or through the Financial Aid Office, understanding of cash management and compliance with federal and state rules, working with the Office of Institutional Research and Analytics on the Student Data Mart, and provide management of calendars for assisting staff with system operations. Minimum Qualifications Bachelor's degree in Computer Science or Computer Information Systems; or Bachelor's degree and some computer coursework from an appropriately accredited institution and five (5) years of experience in business application consulting or development; or Bachelor's degree from an appropriately accredited institution and five (5) years of experience in Financial Aid or Higher Education setting. Additional Required Certifications, Licensures, and Certificates Preferred Qualifications Possess advanced level statistical knowledge (methodologies and theory) and significant experience in SQL and or data access tools as well as be skilled in data visualization tools. Strong analytical and problem-solving skills to independently conduct applied statistical analyses, develop, and present solutions to complex and multi-faceted problems. Advanced ability to present complex findings and recommendations in a clear and concise manner verbally and written. Demonstrated proficiency in retrieving data from Student Data Management Systems (e.g. Banner or PeopleSoft) or similar data systems. Number of Months per Year 12 FLSA Exempt Key Responsibilities ________________________________________________________________________________________________________________________ Percentage Of Time 20% Key Responsibility Management of Financial Aid Module and Other Technical Applications The Associate Director for Operations serves as liaison with the Office of Management Information Systems in the development and implementation of automated systems used by the Financial Aid Office. This includes but is not limited to processing security requests, training staff, new projects for other modules to test the impact on Financial Aid, and testing and installing new Banner releases for financial aid. This position works closely with ITS on maintaining updates to the FA Banner Module as well as all other ITS projects that involve the Financial Aid Office. Percentage Of Time 40% Key Responsibility Develop and test rules for Banner financial aid system for the following processes: FAFSA data import process, Document Tracking, Packaging, Cost of Attendance, Disbursement of Funds, Disbursement Holds, and Satisfactory Academic Progress. The areas are as follows:Loan Processing and Management This position oversees the loan area. Ensures resolution of processing issues, manages processing volume, ensuring efficiency and integrity of all loan processes, including data analysis for quality control. Student Financial Aid Grant Management Ensures resolution of processing issues, manages processing volume, ensuring efficiency and integrity of all financial aid grant processes, including data analysis for quality control. Working with CFI contacts if there are issues with the state interface with Banner. Federal Verification and Professional Judgment This position oversees the Verification and FAFSA import area. Ensures resolution of processing issues, manages processing volume, ensuring efficiency and integrity of the Verification process, including data analysis for quality control. Assists with Verification reviews, Professional Judgement and Dependency Override applications, and other compliance issues for this area. Percentage Of Time 20% Key Responsibility General Reporting The Associate Director for Operations is responsible for duties associated with annual reporting of operational information to various federal, state, institutional, and private entities. General reporting includes managing requests for internal and external requests for financial aid data. Maintain data/statistics on office processes for quality control and management purposes. Management and Reconciliation of Funds The Associate Director for Operations is responsible for the supervision of Assistant Directors responsible for monthly and annual reconciliation of funding resources administered by or through the Financial Aid Office. Compliance and Cash ManagementThis position assists the Director in maintaining compliance with all federal and state regulations including Cash Management. Student Data Mart The Office of Institutional Research and Analytics reports information to the UNC System Office using the Student Data Mart. This position ensures resolution of any data issues or errors in this reporting process. Percentage Of Time 15% Key Responsibility Personnel Administration and Supervision The Associate Director for Operations is responsible for supervision and evaluation of subordinate staff. Responsibilities include but are not limited to training, goal setting, assistance with hiring, disciplinary action, and approval for leave management. Percentage Of Time 5% Key Responsibility General Office Operations and Other Duties as Assigned The Associate Director for Operations is part of the senior management team of the Financial Aid Office. Responsibilities include, but are not limited to, assistance with management of general interactions with customers; assisting with the development of policies and procedures for all phases of operation, scheduling, development, and implementation of staff training opportunities, short-term and long-range goal setting, management of operating budget resources, mediation of student grievances, interaction with other campus departments and units on an as-needed basis. The position must be able to assist with all tasks performed by the office as it evolves through semester and yearly cycles. Completion of tasks assigned by the Director.
